You can list your virtual office as your registered address on Companies House. Making receiving important documents from HMRC and Companies House a whole lot easier.

Directors address
As a director of a limited company, it’s a legal requirement to have an official mailing address which is published on the public register. Rather than using your home location, you can opt to set this as your virtual office address instead. All of your correspondence will then be received to either be scanned and forwarded to you or collected by you when you’re ready.

How Quickly can I use my Virtual Office address?
It’s not uncommon for it to be up and running within 24 hours after we have verified you.
Can I use Virtual Office North Wales for VAT Registration?
Unfortunately not. For VAT registration this must be at your normal place of business.
Can I use my Virtual Office as the Single Alternative Inspection Location (SAIL)?

For Limited Companies, all statutory records must be kept at the registered office and made available for public inspection there unless a SAIL address is used or the company elects to keep the information at Companies House instead.

As Virtual Office won’t hold any of your company records, you’ll need to inform Companies house of your SAIL details, and which records you hold there.

Can I use Virtual Office North Wales if non UK resident or Business?
You can only use our services if you and the business are resident in the United Kingdom.
What Documents do I need to supply?

Proof of Identity Documents

Under The Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017, we are required to verify the identity of customers requesting Virtual Office Services before such services can commence.

TWO documents are required (One from each list) – identification is required for each individual, partner, director and corporation.

PROOF OF IDENTITY
• Passport (min 6 months until expiry)
• Photocard Driving Licence (UK residents only)

Photo I.D Requirements:
• All 4 corners of the document MUST be visible
• Ensure photo has no glare or distortion
• All document information MUST be readable
• ID must have an expiry date of NO less than 6 months

PROOF OF ADDRESS (provided both name and address is shown)
• Utility bill (gas, electricity, water)
• Council Tax Bill
• Current Account/Building Society Bank Statement (Online Bank Statements will only be accepted as full statement PDF downloads, and not screenshots or Excel Format)

Proof of Address Requirements
• Be dated within the last 3 months
• All 4 corners of the document MUST be visible
• Show the individuals/companies full name and address

CORPORATION
• Certificate of Incorporation
• Memorandum of Association

Mail

How often will mail be forwarded?
We will do this daily for you. However, there is a fair usage on the amount within the standard cost. This is limited to 30 items per calendar month.
Can someone else collect my mail?
Simple answer is yes. However, you will need to supply us with the details and they will need to produce ID when collecting on your behalf.
When do I know I have mail to collect?
If you’ve opted to collect your mail we’ll email you to let you know we have some for you.
Can I have parcels delivered to my Virtual office?
Due to restricted space we discourage the delivery of parcels. The maximum dimension of parcels we can accept is 50cm x 50cm and up to 5 kg in weight. Parcels will be subject to a handling fee of £7.50 per item. Parcels must be collected within a reasonable timeframe either in person or via courier.

Telephone

Is a local or national number included within my package?
Telephone numbers are not included within the standard package but can be purchased as an extra cost.
How will I receive my calls?
Calls will be set on a ‘Forward all’ basis to another mobile or landline of your choosing.
Will anyone else answer my calls for me?
Unfortunately not. All calls will go to another number of your choosing or go to the voice mail option.
